Document chat is for checking individual documents quickly: you upload a file and ask questions about it right away, without setting anything up first. Unlike a knowledge base, an analysis is temporary and visible only to you. It stays until you delete it yourself, and it does not automatically become permanent company knowledge. Whatever you check once and then no longer need (this one contract, this one tender, this one official notice) belongs here; whatever you need again and again belongs in a knowledge base.
Best for: checking a contract before you sign it, combing a tender for deadlines and required documents, comparing two quotes, understanding an official notice in plain language, summarizing meeting minutes quickly.
Before you begin
- Document chat is open to every member of your organization, regardless of role.
- Only you see your analyses; other members of your organization have no access, not even administrators.
Upload a document and ask about it
- In the sidebar, click Document chat.
- Click New analysis. It is created immediately and opens.
- Drag your file into the upload area or click Choose files.
- Wait until the upload has finished.
- Read the Overview that the AI creates automatically the first time you open the analysis, and click one of the suggested questions below it.
- Or type your own question into the input field and press Enter.
An analysis holds at most 5 documents with 50 pages in total, each file up to 10 MB; PDF, Word (.docx), text (.txt) and Markdown (.md) are allowed. A document without extractable text, such as a scanned sheet without a text layer, is accepted, but it is marked Scan or No text, together with the notice No readable text detected: the AI cannot read anything from it. For a comparison, upload both documents to the same analysis. Only when they are both there can the AI set them side by side.
Check answers against their sources
Every answer contains numbered citations in the text and a Sources list below it.
- Click a citation number in the text or an entry in the Sources list.
- The preview area opens the document; on narrow screens the view switches to the Preview tab automatically.
- For a PDF file, the preview jumps straight to the right page. For Word, text and Markdown it shows the notice Preview for PDF only instead, with the button Open in new tab.
Check the source instead of simply trusting the answer. With a contract or an official notice, you should do this every time.
Save and export answers
You do not need to note down important answers separately.
- Below an answer, click Save. It lands in the Saved tab.
- In the Saved tab, you remove an entry again with Delete saved item.
- At the top of the analysis, click Export to output saved items and the chat history together.
- Choose Copy to clipboard, Markdown (.md), PDF (.pdf) or Word (.docx).
The history stays until you delete the analysis; there is no automatic deletion after a period of time. Delete a confidential one-off analysis once you are done if it should not be kept any longer.
Add an analysis to a knowledge base
If you want to keep an analysis permanently, you do not need to upload the files again.
- In the header of the analysis, click Add to knowledge base (on narrow screens: Add).
- Choose Existing and a knowledge base, or Create new and a name.
- Click Add.
The analysis itself stays; a copy of the documents is added to the knowledge base. Creating a new knowledge base requires the permission “Create & manage knowledge bases”; for an existing one, write access to exactly that knowledge base is enough.
“No readable text detected”
The cause is a PDF without a text layer, usually a scanned or photographed sheet from which no text can be extracted.
- Delete the marked document. Otherwise it takes up one of the five places in the analysis without the AI being able to read anything from it.
- Upload a version with extractable text instead, such as a text PDF instead of a scan.
- For scans you need permanently, use a knowledge base. It comes with text recognition.
Next step
- Knowledge bases: permanent collections instead of individual cases, including text recognition for scans.
- AI Chat: ask questions about selected knowledge bases instead of uploading a single file.
- Reference: roles, file formats, limits and retention periods in one place.
